Customer Service Associate

GENERAL FUNCTION

Under the supervision of the Membership Director, the Front Desk Attendant performs reception duties including processing membership and program registration, preparation of related materials and files, and provides informational services regarding YMCA programs, fees and policies.

ESSENTIAL DUTIES

  1. Arrive to work 15 minutes prior to the start of your shift so that you are prepared to start your duties on time
  2. Flexibility to perform a variety of tasks simultaneously
  3. Accurately counts cash drawer before and after shift
  4. Handle the exchange of cash, check and bank card transactions accurately and efficiently
  5. Greet guests who come in and out of the facility, using names if possible. Arrange for tours of facility as requested
  6. Monitor guest check-ins to verify membership status, while maintaining entrance and building security
  7. Receive member/guest complaints and comments responding in a sincere pleasant manner; indicate an understanding of the problem and take necessary steps to correct as soon as possible. Relay the comments and concerns to the appropriate staff and supervisors.
  8. Create and develop positive member relations and encourage member involvement
  9. Answer phones in a professional manner
  10. Distribute and clean towels
  11. Keep the front desk area clean and clear of debris
  12. Register program participants for YMCA classes and programs
  13. Promote and sell new memberships
  14. Maintain a current knowledge of all YMCA membership information
  15. Provide accurate information to guests regarding facility programs, classes, events, etc.
  16. Keep all informational paperwork, handouts, forms and applications, etc., replenished and up to date.
  17. Enter guest information into computer system properly. I.e. correct capitalization and spelling of all information, obtain information missing from guest’s account.
  18. Enforce YMCA guidelines and policies
  19. Maintain knowledge of YMCA emergency procedures and handle any emergency situation in a professional and calm manner
  20. Provides janitorial services as needed by keeping locker rooms, bathrooms, front lobby, hallways, etc. free of litter left behind by members
  21. Assist other YMCA staff in completing various projects as workload allows
  22. Maintain confidentiality with both staff and member(s) personal information or issues.
  23. Maintain a professional attitude and appearance at all times, while in accordance with the YMCA dress code
  24. Refrain from using cell phones, computers, laptops and tablets for non-work related activities
  25. Develop a positive work relationship with other staff members
  26. Attend staff meetings
  27. Work flexible hours

Customer Service Leader

Category: All Branches

GENERAL FUNCTION

The Building Monitor is responsible for maintaining a safe, controlled environment in accordance with YMCA policies and guidelines, while providing excellent Member Service.

 

ESSENTIAL DUTIES

  1. Monitor facility through regular walk through inspections (every 30 minutes) including all doors inside and outside for the entire facility.
  2. Complete building sweep at the end of shift in all areas making sure members are out of the building and doors are locked prior to leaving.
  3. Monitor all parking areas, picking up trash as seen
  4. Enforce rules, regulations and guidelines in accordance with YMCA policies and mission
  5. Must know correct disciplinary steps to be taken per policy
  6. Maintain a level of knowledge and information required to assist members in the use of the facility
  7. Complete incident/accident reports as required
  8. Provide janitorial services as needed by keeping locker rooms, bathrooms, front lobby, hallways, etc. free of litter left behind by members
  9. Give facility tours to prospective members
  10. Help set up special events and classes as directed
  11. Maintain knowledge of YMCA emergency procedures and handle any emergency situation in a professional and calm manner
  12. Will act as Manager on Duty in the absence of higher ranking director or coordinator
  13. Building Monitor may suspend facility privileges if warranted
  14. Inform Directors of any critical problems in a timely, professional and courteous manner
  15. Fully cross train with the Front Desk Staff
  16. Act as back up to Front Desk Staff with phones and other duties as needed, and is able to be reached at all times by cell phone or walkie talkie during shift

Lifeguard

Category: All Branches

Under the direction of the Aquatics Director, candidates will act as a lifeguard during recreational, instructional and exercise usage of the pool;

  • Must be alert at all times, keeping in mind that the safety of program participants is their primary responsibility.
  • Arrive and leave work at their assigned times
  • Be properly dressed according to set standards
  • Enforce pool regulations of swimmers promptly and courteously
  • Test pool for chemistry and temperature
  • Provide vigilant, undistracted supervision of the pool
  • Must read and be familiar with staff aquatic manual
  • Understand and carry out first aid and branch emergency procedures
  • Report fully all accidents and incidents on the correct forms
  • Check safety equipment when coming on duty and report any problems to your supervisor
  • Attend and be able to perform all skills in monthly in-service meetings

Sports Site Supervisor

GENERAL FUNCTION

Under the supervision of the Program Director, the sports site supervisor will provide excellent leadership and support to the youth, teen and adult programs, and provides informational services regarding YMCA programs, fees and policies.

ESSENTIAL DUTIES

  1. Arrive to work 15 minutes prior to the start of your shift so that you are prepared to start your duties on time.
  2. Flexibility to perform a variety of tasks simultaneously.
  3. Provides leadership to youth and adult programs at the branches.
  4. Responsible for ensuring program quality and safety.
  5. Inspects sports site and equipment for safety hazards, damage and wear.
  6. Works at all games to ensure all aspects of the games and game days run smoothly.
  7. Ensures the gym and playing field are ready for games with physical setting and equipment.
  8. Monitors and provides guidance to site officials.
  9. Finds substitutes when needed.
  10. Remains visible to participants when on duty.
  11. Communicates to Program Director any concerns or incidents that may need follow-up.
  12. Promotes all YMCA programs.
  13. Creates and develops positive member relations and encourage member involvement.
  14. Provide accurate information to guest regarding facility programs, classes, events, etc.
  15. Creates an atmosphere that is based on fair play and incorporates it in a manner that is both demonstrative and professional. 
  16. Communicates to Program Director any suggested improvements, concerns, neede repairs, or incidents that may need follow-up.

Swim Lesson Instructor

GENERAL FUNCTION

Under the supervision of the Aquatics Director, the Swim Lesson Instructor is responsible for providing excellent and safe instruction, motivation and support to YMCA members and program participants in programs, and for the cleanliness and general upkeep of the aquatics area.

ESSENTIAL DUTIES

  • Arrive to work 15 minutes prior to the start of your shift so that you are prepared to start your duties on time
  • Flexibility to perform a variety of tasks simultaneously
  • Leads swim instruction private and group lessons in accordance with YMCA standards and guidelines
  • Ensures safety by communicating and enforcing pool rules, policies and guidelines
  • Trains participants in a manner that is both demonstrative and professional.
  • Set up and store needed equipment
  • Begins and ends every lesson on time.
  • Takes attendance of class each and every time
  • Provides excellent member service
  • Communicates to direct supervisor any concerns, needed repairs, or incidents that may need a follow-up
  • Maintain knowledge of YMCA emergency procedures and handle any emergency situation in a professional and calm manner
  • Provides janitorial services as needed by keeping locker rooms, bathrooms, front lobby, hallways, pool area, etc. free of litter left behind by members
  • Assist other YMCA staff in completing various projects as workload allows
  • Maintain confidentiality with both staff and member(s) personal information or issues.
